Under the general direction of the Vice President of Development and External Affairs, the Stewardship Officer is responsible for performing a variety of complex and confidential duties and special projects related to accomplishing the fund development goals established by the Foundation Board of Directors. Primary responsibilities include maintaining positive donor relations and deepening relationships to ensure ongoing and long-term donor support of SUNY Schenectady County Community College ("SUNY Schenectady"), developing and implementing a comprehensive stewardship program, recruiting volunteers, and providing high-quality communications, recognition and engagement for donors of all gift levels.

Supervisory Responsibility

The Stewardship Officer does not have supervisory responsibilities.


  • Maintain close relationships with assigned portfolio of donors and affinity groups including but not limited to alumni, community members, retirees, Board members, faculty and staff, corporate partners and veterans.
  • Collaborate across the College's five divisions to identify opportunities to connect donors and prospects to the College's mission. Develop program-specific solicitation tools including case statements.
  • Support the execution of major gift and grant strategies by researching, crafting proposals, writing presentations, managing logistics, and participating in the development of strategic communications.
  • Create timely, innovative and personalized acknowledgement of all donations and related correspondence, including "thank you" letters, pledge reminders, personal calls and notes. Provide thorough and accurate responses to all donor requests for information and demonstrate exemplary customer service in all exchanges.
  • Develop and implement strategies to welcome new donors on a monthly basis.
  • Support the planning and execution of meaningful stewardship events and assist with major fundraising events as needed.
  • Maintain accurate donor information in the database, including addresses, tracking of actions, notes, giving preferences and biographical information.
  • Establish production schedules and create content for annual donor reports in conjunction with Marketing and Communications staff members. Coordinate production and distribution of print and electronic publications to keep donors engaged.
  • Develop loyalty and recognition programs to retain long-term relationships and encourage planned gifts.
  • Facilitate gift agreements and ensure that gift terms are satisfied and that donors are recognized appropriately; arrange for public recognition of donors' gifts or carefully protect their anonymity. Maintain annual donor lists and recognition plaques.
  • Create a system for evaluating the effectiveness of stewardship efforts, including the retention of donors and return on investment. Track fundraising results and analyze based on community college benchmarks nationwide to ensure the implementation of stewardship best practice at SUNY Schenectady. Proactively generate and provide reports and donor briefs to the Vice President of Development and External Affairs.
  • Represent the College in activities associated with the community as needed.
  • Other duties or special projects as assigned by the Vice President of Development and External Affairs.


  • Ability to attend/oversee frequent evening and weekend events.
  • A working knowledge of office systems and software, including fundraising/donor management software.
  • Strong interpersonal, verbal and written communication skills.
  • Strong organizational and time management skills.
  • Ability to work well independently and in a team environment.
  • Detail oriented, goal oriented, have high initiative.
  • Capable of managing multiple requirements simultaneously.
