Job Description:


Reporting to the Assistant Director of Human Resources, the HR/Operations Coordinator is responsible for handling the day-to-day facilities operations for the building the Research Foundation Central Office is located and will support the Central Office human resources function. The incumbent will be proactive, provide excellent customer service to internal and external RF constituents and be able to effectively handle multiple tasks of varying levels of importance and priority at the same time. Due to the nature of the duties, this position is considered essential and is an in-office position.



  • Receive and provide direction to visitors to ensure compliance with building security
  • Manage incoming facility communications including phone calls, mail, and courier services
  • Prepare and coordinate the processing of invoices with Accounts Payable for facilities operations
  • Track and maintain the budget for all facilities related expenses
  • Maintain organization of physical and electronic file systems in compliance with our retention policies
  • Provide communication to staff of any maintenance issues that could impact operations
  • Work with the property manager and other external contractors to coordinate facility maintenance operations
  • Administer the office Badge & Camera Security Systems
  • Coordinate with the Assistant Director of HR, external property manager, law enforcement officials, and fire department officials to ensure the safety of the staff and building. This includes coordinating fire drills, active shooter drills, and building safety education
  • Manage the building emergency notification system data
  • Maintain the daily report of who is in the building each day
  • Back-up Mail Clerk when needed
  • Maintain equipment inventory at the building
    Human Resources
    • Support the recruitment and onboarding processes at the Central Office. This includes coordinating with applicants and search committee members to schedule interviews and ensuring that candidates have appropriate paperwork completed
    • Maintain accurate human resources records, such as personnel files, termination files and leave records, located at the Central Office and assist with the digitalization of these records into electronic file systems
    • Assist with HR-related special projects and events
    • Other assigned duties
      • Proven ability to maintain professional and productive relationships with a wide range of internal and external customers
      • Proven experience gathering and analyzing data, determining applicability, and drawing appropriate conclusions
      • Proven experience maintaining accurate records and generating corresponding reports
      • Ability to proactively assess work priorities, arrange work accordingly, and meet deadlines
      • Working knowledge of Microsoft Office suite of programs, including Word, Excel, PowerPoint, Outlook
      • Ability to understand and follow complex oral and written instructions
      • Ability to work independently on regular tasks and on special projects when assigned
      • Proven experience working with confidential communications while maintaining a high level of professionalism
      • Proven experience providing excellent customer service and being attentive to the diverse needs of those in the building
      • Ability to effectively handle tasks assigned, while staying available to provide timely customer service to employees within the building as needed.

        • Associate degree preferred and 4 years progressive clerical experience, or combination of experience and education
        • HR and/or facilities experience preferred
